BIT7 LLC determines the purposes and means of the processing described in this Privacy Notice. Privacy inquiries and requests can be submitted through the contact form or sent by post to the address above.
Website delivery and security
When you access the website, the hosting infrastructure may process technical connection data. This may include your IP address, the date and time of the request, the requested resource, response status, referrer information and browser or user-agent information.
This data is processed to deliver the website, diagnose technical errors, maintain security and availability, and prevent misuse. The legal basis is Article 6(1)(f) GDPR. BIT7’s legitimate interest is the secure and reliable operation of the website.
Technical logs are retained only for as long as required for website operation, security investigations and error analysis. The applicable period is determined by the configured retention schedule of the hosting infrastructure and may be extended where an incident must be investigated or legal claims must be handled.
Contact inquiries
When you use the contact form, BIT7 processes your name, company name, business email address, project brief, confirmation that you have read this Privacy Notice, and the time of submission. The free-text field may contain additional information that you choose to provide.
BIT7 uses this information to assess, manage and respond to your business inquiry and, where appropriate, to discuss a potential business relationship. The legal basis is Article 6(1)(f) GDPR. BIT7’s legitimate interest is to communicate with prospective business customers and manage B2B inquiries. Where you personally request steps before entering into a contract with BIT7, Article 6(1)(b) GDPR may also apply.
Providing this information is not required by law. Fields marked as required are necessary to process the inquiry. If they are not provided, the form cannot be submitted and BIT7 may be unable to respond.
The website does not save the inquiry content to its own database. It passes the information to the configured email system for delivery to BIT7. Email systems may retain messages, delivery records and backups according to their configured retention schedules.
Rate limiting and abuse prevention
To prevent repeated or abusive submissions, the contact endpoint derives a pseudonymous SHA-256 hash from the requesting IP address and stores it with submission timestamps in a protected temporary file. The limit is five attempts within a rolling 15-minute period. The raw IP address and the rate-limit hash are not included in the contact email.
Timestamps outside the active 15-minute window are discarded when the record is processed again. Old temporary records are also subject to the hosting environment’s temporary-file cleanup. The legal basis is Article 6(1)(f) GDPR. BIT7’s legitimate interest is to protect the contact service against misuse and maintain its availability.
Recipients
Contact inquiries are accessible to authorised BIT7 personnel who need the information to review and respond to them. Hosting, email and technical service providers may process personal data on behalf of BIT7 where this is necessary to operate the website and deliver the inquiry.
Information may also be disclosed where this is required by law or necessary to establish, exercise or defend legal claims.
Processing in the United States
BIT7 LLC is established in the United States. Information submitted through the contact form is therefore received and processed by BIT7 in the United States.
Hosting and email providers may process data in additional locations under their applicable service arrangements. Where a transfer from the European Economic Area to a separate recipient requires safeguards under Chapter V GDPR, the applicable transfer mechanism depends on the recipient and processing route. You may request information about the safeguards relevant to your inquiry through the contact options above.
Retention
Contact inquiries are retained until the inquiry has been handled and no further substantive follow-up is reasonably expected. Information may be retained longer where it becomes part of a business relationship, where applicable law requires retention, or where it is necessary to establish, exercise or defend legal claims.
Technical logs, email delivery records, backups and rate-limit records follow the criteria described in the relevant sections above. BIT7 applies storage limitation and deletes or anonymises personal data when it is no longer required for the stated purposes, subject to legal retention duties.
Automated processing
The website uses automated validation, a honeypot field and rate limiting to protect the contact form. BIT7 does not use personal data collected through this website for profiling or solely automated decisions that produce legal or similarly significant effects within the meaning of Article 22 GDPR.
Your rights
Where the GDPR applies, and subject to its conditions and limitations, you may request access to your personal data, correction of inaccurate data, erasure, restriction of processing and, where applicable, data portability.
You may object at any time, on grounds relating to your particular situation, to processing based on Article 6(1)(f) GDPR. BIT7 will then stop the processing unless compelling legitimate grounds override your interests, rights and freedoms, or the processing is necessary to establish, exercise or defend legal claims.
To exercise a right, use the contact form and identify the request as a privacy request, or write to the postal address above. BIT7 may request information necessary to verify your identity.
Right to lodge a complaint
You have the right to lodge a complaint with a data protection supervisory authority, in particular in the EEA country of your habitual residence, place of work or the place of the alleged infringement.
